2. Scope & Compliance
We apply best‑practice privacy governance adopting the Australian Privacy Principles (APPs) under the Privacy Act 1988 and guidance issued by the OAIC and ACNC
3. Personal Information We Collect & Why
We only collect personal information that is reasonably necessary for our legitimate purposes:
Contact details (name, email, postal address, phone)—for event correspondence, subscriptions, membership, competition entry, volunteering and donations.
Transaction information—event payments via our platform or third‑party payment provider.
Website analytics and cookies—to improve performance (see Cookies Policy section).
We collect information directly from individuals wherever practicable and obtain consent when collecting sensitive information (e.g. health or special dietary needs)
4. How We Use & Disclose Information
We only use or disclose personal information for the primary purpose it was collected, or where:
you have given consent;
you would reasonably expect us to use it for a related purpose (e.g. volunteer management, invitations to events);
required or permitted by law.
We do not sell or rent information to third parties. If we engage third‑party service providers (e.g. ticketing, email platforms), we take reasonable steps to ensure their privacy practices meet our standards.

6. Data Security
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure — including secure servers, access controls, and staff awareness training.
7. Data Retention & Deletion
We only retain personal information as long as necessary for its original purpose (e.g. enquries, competition entries). Records are reviewed periodically—and securely destroyed or de‑identified when no longer needed.
8. Access & Correction Rights
You can request access to your personal information or ask for corrections at any time. We may need to verify identity before providing information, and we will respond as soon as practicable.
9. Opt‑Out & Withdrawal of Consent
You may withdraw consent at any time (e.g. unsubscribe from newsletters). If you refuse to provide mandatory information, it may limit our ability to deliver services or communicate with you.
10. Notifiable Data Breach Scheme
We maintain a Data Breach Response Plan in line with the OAIC’s guidance. In the event of an eligible breach likely to result in serious harm, we will notify affected individuals and the OAIC as required.
11. International Transfers
We generally do not transfer personal information outside Australia. If this becomes necessary, we will ensure regulatory safeguards or your explicit consent is in place.
